Terms of service

1. Introduction

These Terms of Service (“Terms”) govern your access to and use of the onboarding.team platform, operated by FRANCHISE FAMILY LTD (“we”, “us”, “our”), registered in England and Wales.

By accessing or using our services, you agree to be bound by these Terms. If you do not agree, you may not access or use the platform.

2. The service

onboarding.team is a cloud-based platform for preboarding and onboarding frontline workers in multi-location operations (restaurants, retail, hospitality, logistics) and single-site operations with 50+ frontline staff. We strive for 99.9% monthly uptime, excluding scheduled maintenance windows announced at least 48 hours in advance. We reserve the right to modify, improve, or discontinue features with reasonable notice.

3. Acceptable use

You agree to use the platform lawfully. You will not (a) attempt to circumvent its security or rate limits, (b) reverse engineer it, (c) upload content you do not have the right to use, (d) upload special-category personal data (health, racial origin, political opinions, religion, sexual orientation, etc.) unless we have agreed in writing that the platform is suitable for it, or (e) use the platform to send unsolicited communications.

4. Trial

The free trial runs for 14 days and gives full feature access on the plan you choose, with no credit card required. At the end of the trial, you choose a paid plan or your trial workspace and its data are deleted within 30 days.

5. Payments and billing

Once the trial ends, paid subscriptions are billed in advance through our payment processor, Stripe. By providing payment information you authorise us, via Stripe, to charge the applicable fees.

  • Fees are billed in advance on a recurring basis (monthly or annually) according to the plan you select.
  • Prices are exclusive of applicable taxes (VAT, sales tax), which are calculated and added at checkout via Stripe Tax.
  • Subscriptions automatically renew at the end of each billing period unless cancelled before the renewal date.
  • Hires-per-month caps apply per plan. If you exceed the cap two months in a row, we will reach out about moving to the next plan.

6. Cancellation and refunds

Monthly plans cancel at the end of the current billing month — you keep access until the end of the period you have paid for. Annual plans are non-refundable for the remaining months but can be downgraded or set to non-renew at any time. There are no refunds for partial months.

7. Data and privacy

You retain all rights, title, and interest in the journey content and hire data you submit to the platform. We act as the data processor; you are the data controller. Our data practices are governed by the Privacy Policy and the Data Processing Agreement (DPA).

8. Confidentiality

Each party will protect the other's confidential information with the same degree of care it uses for its own (and no less than reasonable care). Public information, information already known, and information independently developed are not confidential.

9. Limitation of liability

The service is provided as-is. To the maximum extent permitted by law, we are not liable for indirect, incidental, consequential, or punitive damages, or for lost profits, lost revenue, or lost data, arising from use of the platform. Our aggregate liability under these Terms is capped at the fees you paid in the 12 months preceding the event giving rise to the claim.

10. Termination

You may terminate your subscription at any time from your account settings. We may suspend or terminate access for material breach of these Terms, including non-payment after a 14-day grace period. On termination, you may export your data for 30 days, after which it is deleted in accordance with the Privacy Policy.

11. Changes to these Terms

We may update these Terms from time to time. Material changes will be notified by email to account administrators at least 30 days in advance.

12. Governing law and jurisdiction

These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to conflict-of-law provisions. Any disputes arising out of or relating to these Terms or the service shall be subject to the exclusive jurisdiction of the courts of England and Wales.
